The Sr. Compliance Specialist is responsible for partnering with the Compliance Director to develop, implement and administer Entrust Datacard’s compliance program.  The Sr. Compliance Specialist is organized, efficient, and flexible; thrives in a fast-paced environment; and welcomes challenge and change.

 
Responsibilities:
 

The following represent the key responsibilities of the role as they exist today.  This role may expand to include responsibilities in additional areas of compliance that may be new to the Sr. Compliance Specialist as the program evolves.

 
Immigration Compliance
  1. Ensure efficient and timely processing of visas and required immigration documents by working closely with employees, managers, Human Resource Business Partners and external counsel

  2. Maintain accurate immigration records and ensure records are updated on a timely basis as required

  3. Oversee government visits and audits related to Entrust Datacard’s immigration program and compliance

 
Data Privacy Compliance
  1. Assist Compliance Director with administration of data privacy program

  2. Manage relationship with third party data mapping vendor

  3. Manage data mapping repository
  4. Maintain data mapping inventory through collaboration with internal and external stakeholders

     
Governance
  1. Assist Compliance Director in setting agendas and facilitating meetings of various compliance oversight groups (e.g., Compliance Committee, Policy Governance Board)

  2. Assist Compliance Director in preparing periodic reports to the Audit Committee on the state of Entrust Datacard’s compliance program

  3. Assist with periodic internal audits of the enterprise-wide compliance program and other areas of compliance owned by the Compliance Director

     
Due Diligence
  1. Assist Compliance Director in creating and managing automated third party due diligence process

  2. Screen completed due diligence questionnaires through third party due diligence tool

  3. Manage due diligence records repository and ensure documentation is kept up to date

 
Policies
  1. Assist Compliance Director with creation and maintenance of global policies
  2. Maintain global policy repository on internal Compliance page
 
Training & Communications
  1. Manage and oversee annual Code of Ethics & Workplace Harassment training roll-out to all colleagues

  2. Maintain tracking completion records
  3. Assist Compliance Director as needed in creating and disseminating compliance reminders and messaging to all colleagues

 
Reporting Hotline
  1. Manage relationship with third party hotline provider
  2. Serve as hotline administrator (e.g., configure Entrust Datacard account, manage and grant access rights, assign incoming reports, run metrics reports, serve as point of contact for technical questions)

  3. Compile annual hotline metrics report for presentation to the Audit Committee

 
Other
  1. Partner with the Compliance Director to continuously grow and improve Entrust Datacard’s compliance program

  2. Stay abreast of changes in legal/regulatory requirements that may impact Entrust Datacard

  3. Help to manage and triage general compliance inboxes
  4. Participate in special projects related to compliance as needed

Basic Qualifications:
  • Associate’s or Bachelor’s degree in Compliance, Business, HR, Legal or related field 

  • 5+ years of applicable experience
  • Understanding of, and experience with, elements of an effective compliance program 

  • High proficiency with Excel and other Microsoft Office Applications

  • Must be able to lawfully work within the US and have unrestricted work authorization for US

 
Preferred Qualifications:
  • Adept at working with and learning new technologies/systems
  • Ability to work in fast-paced environment, multi-task and prioritize
  • Experience with systems reporting and internal audits
  • Experience developing internal processes and procedures
  • Project management skills with ability to manage stakeholders and work cross-functionally through influence

  • Team player with strong people skills and ability to work with a variety of internal and external customers
